SAP Modules

Purchasing, production, finance:Where should SAP help first?

Every business area has its own processes in SAP. Here you will find the seven modules we work in most often, and what SAP does for you there.

One system, all areas

In SAP, every module depends on the next

A purchase order creates a posting in financial accounting when the goods arrive. A production order collects costs that end up in controlling. Whatever is poorly maintained in one area shows up as an error in the next.

  1. Purchase orderMM
  2. Goods receiptMM · QM
  3. ProductionPP · PM
  4. InspectionQM
  5. DeliverySD · CS
  6. InvoiceSD · FI
  7. ControllingCO

Most problems in projects arise at these handovers. That is why we never look at just one module. Before we change anything in purchasing, we check what it means for the warehouse, production and accounting.

Commercial processes

SAP Materials Management (MM)Inventory and purchasing under control

SAP Materials Management, MM for short, covers purchasing, inventory management and invoice verification. This is where purchase requisitions and purchase orders are created, goods receipts are posted and supplier invoices are checked. In SAP Cloud ERP, technically SAP S/4HANA, the area is called Sourcing and Procurement, but in practice people still say MM.

What we do in this area

  • Capture purchasing processes and map them to the SAP standard
  • Clean up material master data and MRP parameters
  • Set up release procedures and invoice verification
  • Introduce Fiori apps for buyers and the warehouse
“We order by gut feeling and reconcile in Excel afterwards.”
Usually the MRP parameters are not maintained. Once they are clean, SAP proposes order quantities and dates itself, and the Excel list is no longer needed.
Commercial processes

SAP Sales and Distribution (SD)From quotation to invoice in one system

SAP Sales and Distribution, SD for short, covers the sales process: inquiry, quotation, sales order, delivery and billing. Prices, conditions and the availability check run in the same system. Every invoice is posted automatically in financial accounting.

What we do in this area

  • Set up lean order types and pricing
  • Configure the availability check for reliable delivery dates
  • Connect outgoing invoices and e-invoicing
  • Build interfaces to CRM and web shop
“Only our inside sales team knows whether an order will ship on time.”
With an availability check and maintained conditions, everyone in sales sees a realistic delivery date as soon as the order is created.
Commercial processes

SAP Finance and Controlling (FI/CO)Figures you can rely on

SAP FI is financial accounting with general ledger, accounts receivable, accounts payable and asset accounting. SAP CO is controlling with cost centers, internal orders and profitability analysis. In SAP Cloud ERP, both come together in the Universal Journal, a single table for all postings.

What we do in this area

  • Reorganize the chart of accounts and cost accounting
  • Plan closing tasks and partly automate them
  • Connect banks and payment processing
  • Build reporting and planning with SAP Analytics Cloud
“Our month end closing takes two weeks.”
This is often due to manual reconciliation between accounting and controlling. With the Universal Journal, much of it disappears, and the rest can be planned and tracked as a task list.
Operational processes

SAP Production Planning (PP)Planning with real capacities

SAP PP controls manufacturing from requirements planning through production orders to confirmation. It is based on bills of material, routings and capacities. Material requirements planning (MRP) calculates what needs to be produced or procured and when.

What we do in this area

  • Prepare bills of material and routings
  • Set up requirements planning with MRP Live
  • Introduce confirmations at the terminal or via Fiori app
  • Map variant configuration and make to order production
“Our production plan is on the whiteboard.”
When bills of material and routings are correct, requirements planning calculates reliably. Confirmations at the terminal show the actual status on the shop floor.
Operational processes

SAP Plant Maintenance (PM)Plan maintenance instead of repairing breakdowns

SAP Plant Maintenance, PM for short, manages technical assets, maintenance plans and maintenance orders. In SAP Cloud ERP, the area belongs to Asset Management. Malfunction reports, spare parts and costs are recorded per asset and can be analyzed later.

What we do in this area

  • Structure functional locations and equipment
  • Create maintenance plans based on time or counter readings
  • Provide orders to technicians on mobile devices
  • Bring maintenance costs per asset into controlling
“We notice maintenance was due when the machine stops.”
Maintenance plans create the orders automatically. Technicians see their tasks and the asset history on their tablet.
Operational processes

SAP Quality Management (QM)Inspections documented and traceable

SAP QM plans and documents quality inspections at goods receipt, in production and before shipping. Inspection plans define what is checked, and inspection lots record the results. When deviations occur, quality notifications control the follow up, for example for complaints to suppliers.

What we do in this area

  • Build inspection plans and characteristics
  • Connect goods receipt inspection with purchasing
  • Make batches fully traceable
  • Handle complaints via quality notifications
“Before every audit, we have to hunt down the inspection records.”
When inspections run in the system, every result is linked to the batch and delivery. For the audit, a single query is enough.
Operational processes

SAP Customer Service (CS)Service calls with the full picture

SAP Customer Service, CS for short, covers maintenance contracts, service orders and repairs. SAP Cloud ERP also offers SAP S/4HANA Service with its own service orders and service contracts. Both use the installed base, spare parts and billing.

What we do in this area

  • Build the installed base with devices and history
  • Set up service contracts and billing
  • Introduce scheduling for field service
  • Assess the move from CS to S/4HANA Service
“On site, our technician does not know what was replaced on the last visit.”
With a maintained installed base, the technician sees the history of every device. The visit is billed right after completion.

Frequently asked questions about SAP modules

Do we have to implement all business areas at once?
No. Many companies start with finance, purchasing and sales and add production, quality management or maintenance later. What matters is that the organizational structure and master data fit the later areas from the start. We plan this in the first step.
Can we start with a single business area?
Yes, if an SAP system is already running. Then an area such as quality management or maintenance can be added or reworked in a targeted way. In a new implementation, financial accounting is almost always included, because all other areas post to it.
Do MM, SD and the other modules still exist in SAP Cloud ERP?
The functions still exist. In SAP Cloud ERP, however, SAP organizes them by lines of business such as Sourcing and Procurement, Sales or Finance. The familiar abbreviations still appear in components and authorizations and remain common in day to day project work. Many transactions have been replaced by Fiori apps, and some older functions are no longer available.
What happens to our existing custom developments?
We check every custom development to see whether today's SAP standard covers it. Whatever is still needed, we build outside the core on the SAP Business Technology Platform wherever possible. This keeps future updates manageable.
What does implementing a single business area cost?
That depends on the scope, above all on the number of sites, users and interfaces and on the quality of the master data. We provide a reliable estimate after the free initial consultation.
